Vacation Rental Policies
Cleaning: We trust that each property will be treated as if it were your own. We are pleased to be able to provide departure cleaning which is included in the rental rate on weekly rentals only. Please take care of the property during your stay and leave the property in satisfactory condition so that we can prepare it for our next guests. If upon inspection extraordinary cleaning is needed the additional amount billed will be deducted from your damage/security deposit.
Damage/Security Deposit: All homes require a damage/security deposit to be paid thirty days prior to your arrival date. Deposits will be returned to you within forty-five days of your departure date, providing no damages were incurred during your stay. Deposits may be used to repair damages, replace missing contents, or to reimburse owner/agent for expenses resulting from agreement violations. Please report any problems or damage in your home to one of our Team Members the day of your check-in. If not reported, we must assume these occurred during your occupancy. Dogs are only allowed in pre-approved Dog-Friendly homes and ABSOLUTELY NO SMOKING ALLOWED.
Dog-Friendly: We are happy to be offering more and more dog-friendly homes each year. If you plan on bringing your dog into one of these homes a non-refundable fee is charged per dog prior to arrival or upon check in. If we become aware that a dog is on premise and this has not been communicated to our staff the entire Security Deposit will be withheld upon departure. Please keep approved pets in pet-friendly homes only, if allowed into other homes and evidence is found their security damage deposit will be withheld as well.
The Town of Emerald Isle has a leash and clean up after your pet law that is strictly enforced, even on the beach. In the description of each dog-friendly home, you will learn the amount of the fee and the maximum number of dogs allowed.
Golf Carts: One of the charming perks of our vacation home communities is that most of our homes provide golf carts for easy beach access. You will be given a copy of the golf cart rules during check in of which you will sign and agree to follow. In order to keep everyone safe, these rules are strictly enforced and failure to comply will result in confiscation of the golf cart. The use of these golf carts is a privilege and should be treated as such. Every effort will be made to keep each golf cart in working order, however, in the event, this is not possible no refunds or discounts will be given if they are inoperable during your stay.
Bed Linens: All of our vacation properties will be furnished with bed linens and bath towels prior to arrival.
Paper and Pantry Items: Our homes DO NOT provide paper products, cleaning supplies, condiments, or any other grocery items.
Telephones: Most of our vacation homes provide a telephone. While some of the homes provide free long distance, the majority does not. If your home has a long distance block you can still call long distance by using a calling card or calling the operator and using a credit card. Please do not place or accept any calls or charges to your property phone. Noncompliance will result in charges to your security/damage deposit.
Private Pools and Hot Tubs: Use of the pool and/or hot tub is at your own risk. Each owner has personally contracted a certified pool and spa operator which tests for safe and proper chemical levels before your arrival, once during your stay, and upon departure. Please follow all posted rules and regulations and do not allow any pets in the pool or hot tub.
Parking: Parking anywhere other than the provided driveway is prohibited. All of our homes operate on a septic or drain field that could be damaged by excessive above ground weight. If additional parking is needed please contact our office for other options.
Lost and Found: Although we are not held responsible for items left behind we will do our best to retrieve these items and return them to you. UPS is our preferred method and a credit card number is necessary to send. If items found are not claimed within 30 days they will be donated to local charities.
Lockout Policy: If you are locked out of your vacation residence during regular business hours (9:00AM – 5:00PM) you may come to the office and borrow a key. If this occurs after hours and it is necessary for one of our agents to bring a key to you, $25 will be deducted from your damage/security deposit.
Repairs and Service Calls: Our maintenance team works hard throughout the year to maintain each home in complete working order, however; we cannot guarantee that breakdowns will not occur. Please report any problems with appliances, air conditioning, etc. to our office immediately. We will make every effort to have repairs done quickly and efficiently. NO REFUNDS WILL BE MADE DUE TO FAILURE OF AIR CONDITIONING OR OTHER APPLIANCES. If it is discovered that the equipment is inoperable due to the negligence of the renter, the payment for the service call will be deducted from your security/damage deposit.
After Hours Emergency Calls: If you have an after-hours emergency you will be able to reach our on-call agent by dialing our office number and following the prompts. We always do our best to solve any problems however we do ask for your patience if the problem must be taken care of the next morning as sometimes specialized technicians are necessary.
Limited Occupancy: The vacation home booked should not be used or occupied by more than the maximum allowable number of occupants. Our island does not have a central sewage system, therefore, all cottages have individual septic systems which are permitted by the Health Department for maximum occupancy in the cottage. Spinnaker’s Reach Realty follows the Carteret County Health Department regulation which assumes occupancy of two persons per bedroom. Although additional bedding may be listed, this is for the convenience of providing privacy and adequate bedding for groups that may need to have separate lodging due to gender, age, or marital status.
Overcrowding is a serious situation and is ground for immediate eviction. If necessary, please rent a second home to accommodate all members of your group.
Families Only: Spinnaker’s Reach Realty does not rent to HOUSE PARTIES OR CHAPERONED GROUPS. Should this rule be violated we reserve the right to terminate your reservation contract and you will be evicted immediately without refund.
Handicap Accessible: For the convenience of our guests who have special needs and prefer vacation homes that are wheelchair friendly, we have listed in the property descriptions which homes we consider somewhat accessible. Unfortunately, our homes would NOT meet the ADA standards for handicapped accessibility but in addition to elevators, a few have ramps and accessible baths. Please feel free to ask any of our team members for further details.
First Right Reservations: Before you depart, don’t forget to book your vacation rental for next year. Those of you staying with us this year have the first rights to reserve the same week for the next year in the same property, as long as you book it by Wednesday of your vacation week. This is a tentative reservation and we do not guarantee availability for next year. If you do not make your reservation by end of business Wednesday, the property will become available Thursday morning, on a first come first serve basis. Reservations made for the following year during your stay have a special installment payment plan with the first payment due on October 15th.
Reservations: A 50% nonrefundable deposit is necessary to confirm each reservation. Your reservation deposit and a signed copy of Vacation Rental Agreement must be received in our office no later than fourteen (14) days following the booking of your reservation. Upon receipt of your deposit and signed Vacation Rental Agreement, we will email a written confirmation to you. All unconfirmed reservations will be canceled if not received within the (14) day grace period. Your confirmation will state the home reserved, the address, dates of the reservation, reservation number, and balance due plus damage/security deposit. ALL DEPOSITS WILL BE PLACED IN AN INTEREST BEARING TRUST ACCOUNT WITH INTEREST ACCRUING TO SPINNAKER’S REACH REALTY, INC.
Taxes: North Carolina sales tax is 6.75% and Carteret County occupancy tax is 6% for a total tax of 12.75% (subject to change by the local and state government) which is added to all rentals of 90 days or less. Guests are responsible for paying all applicable taxes in full prior to checking in.
